Event diagramming software or a custom build which one a venue needs

Start a project

For venues and planners who have looked at event platforms and found the décor or themes too limited. What each option does well, and how to choose.

Guide

Event diagramming software lays out tables and seating on a floor plan, and some products show it in 3D. A custom 3D venue build is a model of one venue with its own décor and themes, built to look like the real hall.

Platforms such as Cvent and Tripleseat are built for many venues at once. They handle enquiries, bookings and, in some products, seating diagrams, using a shared library of standard furniture. A custom build is made for your hall, your themes and your props. Many venues use both: the platform to run bookings, and the custom model to sell the look. We make custom builds at our studio in Mumbai.

In short

  • 01

    Platforms run the booking

Enquiries, calendars, contracts and seating plans across many events and venues.

  • 02

A custom build sells the look

The client sees their theme, their colours and their flowers in the real hall.

  • 03

    Décor is the deciding question

If clients choose between themes and props you own, a standard furniture library will not show them.

  • 04

    They can work together

Bookings stay in the platform. Approved set-ups from the 3D model are exported as images and attached.

What each one is for

The two are built for different jobs. This table sets out the usual differences. Check the current features of any platform you are considering, because products change.

When a platform is enough

If your clients mainly choose a date, a hall and a seating plan, and the décor is standard, a platform does the job. It keeps bookings, payments and layouts in one place, and the whole team can use it. Most corporate events and conferences fall here.

When a custom build fits

A custom build fits when the décor is what the client is paying for. Weddings, large celebrations and themed events are sold on the look: the stage, the flowers, the colours and the theme. A client spending heavily on décor wants to see it in the hall before agreeing.

It also fits when you sell your own themes, when your halls have features that a generic room cannot show, and when your team needs to make detailed changes during a meeting. Our interactive 3D banquet hall page explains how one is built.

  • Clients choose between named themes you sell
  • You own or rent props that should appear exactly
  • Linen, flower and colour choices drive the sale
  • The hall has a look that matters: chandeliers, ceilings, a view
  • Changes are asked for until the last meeting

Using both together

The two do not compete. Bookings, contracts and guest lists can stay in your platform. The 3D model is used in the sales meeting to set up and approve the look. The approved set-up is exported as still images and a floor plan, and attached to the booking for the vendors and the client.

What a custom build costs

This page does not publish a rate card, because venues differ. A quote follows a brief. The first build costs the most: the hall, the first themes and the first inventory items. After that, each new event mostly reuses what is already built, so the cost falls with each one. A platform is a subscription with no build. Compare the two over the number of events you expect to sell with each.

Questions

Is there an alternative to event diagramming software with custom themes?

Yes. A custom 3D venue build models your own hall with your own themes and props. The client switches themes and your team moves furniture and changes colours during the meeting.

Can a custom 3D model replace our booking platform?

No. It is for showing and approving the look. Enquiries, bookings and contracts stay in your platform, and approved set-ups are exported as images.

Why does a custom build cost more at the start?

Because your hall, your themes and your props are modelled for you. Those items are then reused, so each later event costs less to set up.

Can the 3D model show our exact chairs, linen and flowers?

Yes. Send photographs or links of the items you use, and we model them so they appear as they do at your events.

Who builds a custom 3D venue?

A studio that builds real-time 3D, usually in Unreal Engine. We build them at our studio in Mumbai for venues and planners across India.
